Launch of Oracle Based ERP System at PISK: Sana Bashir, Khobar – Subscribing to the idea of many fruits that technology has to offer, the Board of Directors, Pakistan International School, Al- Khobar has successfully launched a centralized Oracle-based ERP system for its administration, teachers, students, and parents.

This system is intended to automate all school-related activities and provide a set of important features that will enable the school administration to function more efficiently and productively by cultivating a collaborative environment. It will also improve the eminence and visibility of the school across Saudi Arabia.

Launch of Oracle Based ERP System at PISK

An Opening Ceremony was held in the school on 10th July 2020 to celebrate the successful launch of the ERP system in the school and listen from the administration, teachers, and staff about their experience with the new digital platform.

Principal Mr. Muhammad Ajmal Jamil opened the meeting. He thanked the School Board of Directors, its Chairman and the General Secretary / Chair Board’s Finance Committee in particular, for helping the school in replacing its older legacy system with a centralized Oracle-based ERP system and thus importing quick and proven improvement in the administrative processes at the school.

The set of tools in this system has modernized and upgraded the planning process and management of the school activities. Now admission process in the school is no more complicated, fee payment is well-managed; the system automatically sets apart the fees collected under different categories and also tracks all the parts in the fee configuration including amounts paid for tuition, admission, lab, readmission, fines, etc., data management is easier and more efficient, access to data and other information is quicker, resource management is easier, school data is safer and secured.

Principal

As a Principal of the School, he said, he is now more able and resourceful to plan things; manage people, data, and assets; supervise performance, and oversee academic and financial administration of the school. He appreciated the commitment of his staff with which they learned the functionality of various modules of the system and put the learned knowledge into operation.

Staff members who are working on different modules of the system including transport, student management, purchase, bookshop, and library and finance modules were invited to share their experience and with the new system. They described the features/masters of the modules and how they are carrying out various functions offered by these modules of the new system.

Mr. Muhammad Naeem, General Secretary of the School Board of Directors and Chair Board’s Finance Committee thanked Allah Almighty that He gave him an opportunity and ability to serve the school and the community.

He said that PISK is a big school with sizable annual turnover, resources, and a large number of employees, and thus it needed a robust and comprehensive School Management System to automate its operations and improve controls, efficiency, and effectiveness. With these things in mind, he said, he put forth the idea of bringing an Oracle-based ERP System to the school. The Chairman and other colleagues on the Board of Directors liked the idea and helped to provide an efficient and dependable ERP system to the school.

ERP System

The ERP system had automated all processes like Admissions, Tests, Results, Scheduling, Library management, HR & Payroll function, Purchase and Inventory Management, Transportation system, and financial management process in the school. In addition to that, the parents can access the system remotely and can see the attendance/results/time table of their children studying in the school; also parents can pay the school fee online without visiting the school office once the School’s Portal is complete in the near future.

Teachers can access the system remotely to see their schedule for classes, they can upload the class results and can apply vacation, a loan, or other requests through the system and they can monitor the approval process online. He further said that he is glad to see today that the management and teachers are confident and happy about the modernization that has replaced the old system with a more efficient, and innovative system of management in the school. He expressed his plan to implement Strategic Planning and Management at PISK soon.

Mr. Kamran Khan, member, Board of Directors, congratulated the board and the school administration on the successful launch of ERP project in the school. He called for proper training and empowerment of the teachers at PISK to integrate character building fundamental based upon Islamic values in their lesson plans.

Mr. Abdul Rehman, Chairman, Board of Directors, expressed his pleasure that he was the part of the moment when a transition from an old system of managing school activities to a more modern and innovative system of managing school activities was being celebrated in the school. He praised his team in the BODs who has been working diligently for significant improvements in School’s Academics, Administrative and Financial aspects thus asserting their Fullest Efforts making Pakistani International School, Al- Khobar truly the First Choice of Pakistani Community in KSA while working with the challenges of COVID-19, Online Classes, etc.

He admired the great valuable efforts and hard work of Mr. Muhammad Naeem who had conceived and developed the idea and tirelessly worked to materialize it. He prayed to Allah SWT that He bless Mr. Muhammad Naeem for his time and efforts that he is devoting to make PISK a better school.

The Chairman said that the success of a project depends upon the project team charged with the task of delivering the project. Even the best planned projects may fail to deliver the desired outcome if the project team does not skillfully perform its functions. He thus appreciated the diligent efforts employed by Mr. Muhammad Naeem and Mr. Muhammad Ajmal Jamil for the development and integration of the project team responsible for delivery of the scope of the project within Minimum Budget and Time Frame.

Praising

He praised the most vigorous work of Mr. Fida Hussain (Assistant Vice Principal) and that of Mr. Asif Iqbal (Finance Controller) in the execution of the project. He appreciated other senior teachers including Mr. Abdul Shakoor, Mr. Mohammad Umar for their highly skillful and expert support in the implementation of this project. He also appreciated some other senior teachers and staff members who are a part of the said flagship project of the school. They are Mr. Javaid Farid, Mr. Akram Sardar, Mr. Saleem and Mr. Ahsan who capably learned and are proficiently working on different modules of the system.

The Chairman extended his cordial appreciation to Mr. Oliver, who provided technical support related to both design and deliverables of the project and imparted essential training to the staff enabling them to work proficiently on various modules of the project.

In the end, Mr. Abdul Rehman, the Chairman of the Board of Directors, said that he was very happy to see that many of the milestones of the project have been reached. He, on behalf of his colleagues on the board of the school, and himself, congratulated the entire project team. He reinforced the BOD’s Plan to implement Strategic Planning and Management at PISK to cope up with the challenges of COVID-19, Online Classes, School’s Own Buildings, its sustainability and growth.

In order to reinforce the importance of the work done by the project team, to celebrate their success, and to motivate them in their efforts, the Chairman delivered Appreciation Certificate to the team and promised them rewards soon.
